1. Most Common Questions

Can I use the new Amazon Business account for personal purchases?

No. The central Amazon Business account must be used strictly for business-related purchases in accordance with Texas A&M's purchasing policies.

Can I still use my pcard for Amazon purchases?

All Amazon purchases will be paid via electronic invoicing, which integrates directly with AggieBuy.

Why didn't I receive an invitation to join the Amazon Business account?

Invitations were sent only to users with an Amazon Consumer or separate Amazon Business account linked to their Texas A&M email address who were not already part of the Central Texas A&M Amazon Business account. If you don't have an Amazon account tied to your Texas A&M email, you won't receive an email—but you'll automatically gain access to the punchout once it goes live in September 2025.

How do I know if I have access to AggieBuy?

All permanent university employees are granted “Shopper” access upon hire, enabling them to shop from all punchout catalogs in AggieBuy.

What if my department already has an Amazon Business account?

Departmental accounts must be closed prior to the punchout launch. Instructions for transitioning were sent in July. If you have questions, please email procurement at purchasing@tamu.edu and/ or join our upcoming training sessions: Amazon Business in AggieBuy | Procurement Services.

I have a personal Amazon account using my Texas A&M email but won't use Amazon Business. Do I need to change my email?

Yes. It is strongly recommended to update your personal account to a non-Texas A&M email to prevent access issues or errors and meet compliance regulations set by the university.

Does everyone need to join the Amazon Business account?

Users who do not currently have an Amazon account associated with their Texas A&M email address will be automatically added once the punchout goes live in September 2025.

Can I keep my separate Amazon Business account?

No. All business-related purchases must be made through the punchout.

Can we still use our existing Amazon account?

After the go-live date, all business purchases must go through the punchout. If you have a personal Amazon account tied to your Texas A&M email address, you will need to update the email on that personal account.

What if my account uses a shared email?

Update the email to your specific Texas A&M employee's address, then migrate the account using the instructions provided via email in July

Do I need to create an Amazon account?

No. If your existing Amazon Business account is tied to your Texas A&M email, you should have received an invitation. Otherwise, you'll be automatically added through AggieBuy once the punchout goes live.

How do I view my order history after transitioning?

Go to the Amazon Business home page, then navigate to Your Orders → Paid by You.

What is a Punchout?

A punchout catalog is an online storefront integrated into AggieBuy. When you click the Amazon Punchout, you're redirected to the Amazon Business site to browse products. However, instead of checking out on Amazon, your cart is brought back into AggieBuy to complete a requisition and trigger the approval process.

2. Shipping & Delivery

Can I ship to any address?

No. Orders must be shipped to a valid Texas A&M business address that is available in AggieBuy

How do I select the correct shipping address?

Shipping is based on the address selected in AggieBuy, not Amazon. Ignore any default address shown during the Amazon experience as this is a placeholder address. The address selected in AggieBuy will be used.

How do I track deliveries?

From the Amazon Business home screen, go to Your Orders → Track Package in your Amazon Business account to view delivery status, estimated date, and carrier info.

When will my order arrive?

Delivery estimates will be included in your order confirmation.

Does using AggieBuy slow down delivery?

AggieBuy has built-in workflow approvals that protect the university. Orders aren't sent to Amazon until fully approved in AggieBuy. Most punchout orders are approved within one business day. If you're concerned about your order not being approved quickly, please reach out directly to your approver for a friendly reminder.

Do I need to include my mailstop in the ship-to address.

Yes. Be sure to select an AggieBuy address that includes your mailstop. This will help ensure your package is delivered correctly.

3. Product Availability & Restrictions

Are all Amazon products available through the punchout?

Most items that are available on the Amazon marketplace are available. However, some categories—such as digital purchases or illegal items—are restricted or unavailable. Contact your Procurement office if you need to make a digital purchase.

Are there any product category restrictions?

Yes. Some categories contain items that may not comply with Texas A&M purchasing policies. You may see “Organization Restricted” messages while shopping. These items may be available for purchase, but it is your responsibility to ensure compliance with all relevant guidelines. Always check with preferred contract vendors first. Some items may be blocked entirely, and the system will alert you if that's the case.

Which products are not supported in the punchout? The following are unavailable for purchase:

  • Digital downloads (audiobooks, music, movies, software, games)
  • Electronic gift cards
  • Credit cards
  • Alcohol
  • Wireless devices/services
  • Subscriptions (including Subscribe & Save)
  • Amazon services like AWS, Amazon Fresh, and subsidiaries

Can I use recurring ordering or Subscribe & Save?

Recurring order services like Subscribe & Save are not supported with the punchout. Items must be purchased on an as needed basis.

Can I use Prime benefits like Music, Video, or Fresh?

Consumer Prime benefits are not part of Amazon Business.

How should we handle current recurring subscriptions through Amazon?

Departments should identify and cancel recurring subscriptions before the transition.

The item I want to order is marked as “Organization Restricted.” Can I still purchase it?

Yes, but with conditions. Items marked as “Organization Restricted” are typically commodities that may be available through HUB punchout suppliers—such as office supplies, books, or computer equipment. This designation serves as a reminder to check with HUB vendors first to support the university's and state's HUB initiative.

If the item is not available from a HUB supplier, you may proceed with the purchase through the Amazon Business punchout.

4. Shopping and Order Management

How do I access the Amazon Punchout?

Starting September 2025, you'll access it via the Amazon tile in AggieBuy. Log in using your NetID or UIN via SSO. For detailed instructions, see the Login/Navigation/Preferences Quick Reference Guide: login-navigation-preferences.pdf.

Will the ordering process change?

Somewhat. While shopping will feel like Amazon.com, you'll now enter via the AggieBuy punchout. After selecting items, your cart returns to AggieBuy for requisition creation and approval.

Can I make Amazon Business purchases without going through AggieBuy?

No. All business purchases must be made through AggieBuy. Attempting to check out directly on Amazon will result in an error.

Can I do a change order for an Amazon PO?

No. Punchout suppliers like Amazon do not accept changes once an order is placed.

What is the supplier name for Amazon POs?

The supplier name is Amazon.com.

Note: You must shop through the Amazon punchout tile in AggieBuy to place an order. You cannot use a non-catalog order form to initiate Amazon purchases.

Are Amazon Business and consumer site URLs the same?

No. Product URLs differ. To search across both, use the ASIN (Amazon Standard Identification Number), found in the product details.

What if I see pending orders under Your Orders, but they haven't been approved yet?

Your order won't be sent to Amazon until it's approved in AggieBuy. If not approved within 7 days, the cart or affected items may be canceled.

What if I need to place a bulk order, but a seller has quantity limits?

You can still contact the seller directly to request an exception and proceed with the order. For assistance with placing bulk orders, contact one of Texas A&M's Amazon Business representatives:

How can I return or cancel an item?

In the Amazon Business punchout, go to Your Orders, then:

  1. Select Return or Replace items
  2. Choose a return reason
  3. Print the label and authorization
  4. Prepare the package and return with the label

Items sold by Amazon can be returned within 30 days. Return windows for third-party sellers may vary. A credit memo will be automatically applied to the original purchase.

How will the credit memo affect the purchase order?

Once the returned item is received by Amazon, a credit memo will be automatically applied to the original invoice in AggieBuy—no action is needed for that step.

However, after the credit is processed, you must submit a change request in AggieBuy to release the encumbered funds associated with the returned item.

Can I print packing slips through the punchout?

Yes, packing slips are available via your Amazon Business account.

How are multi-seller orders handled?

If an order involves multiple sellers or fulfillment centers, it will be split into multiple Amazon Order IDs. Each shipment will generate a separate invoice, all linked to the same purchase order.

Can someone else place an order for me?

Yes. Authorized users can shop on behalf of others. Check with your department for any additional approval requirements.

Why did my Amazon cart disappear or fail to process?

Common reasons include:

  • Session timeout or navigation away before submission
  • Cart changes after returning to AggieBuy, such as changing quantities or adding/removing line items
  • Order was not approved within 7 days

Can I still shop directly on Amazon.com?

No, not for business purchases. All university-related Amazon purchases must go through AggieBuy.

Can I save frequently purchased products?

Yes. You can create shopping or reorder lists:

  1. Hover over Lists and select Create a List
  2. Choose “This list is for: You”
  3. Select a list type (Shopping or Reorder)
  4. Name the list and set it to Private

What if AggieBuy is down?

Wait until AggieBuy is restored before making purchases. For urgent needs, contact Procurement Services for emergency purchasing procedures.

Is the punchout compatible with all browsers/devices?

Yes, it works on Chrome, Firefox, Safari, and Edge. It's optimized for desktop but also usable on tablets and phones, with limited functionality on smaller screens.

What happens if prices change before approval?

Pricing will be locked for 7 days. If an order isn't approved within 7 days, items affected by price changes may be canceled.

Will Amazon orders follow our departmental approval workflows?

Yes. Approval chains in AggieBuy will apply to Amazon purchases. Departments should review their workflow setup to ensure it's suitable.

Why did I receive an email that my order was halted?

Amazon Business includes controls for price and quantity changes. If your order is affected by those changes or delays in approval, it may be halted or canceled.

Under what conditions could my order be canceled?

Orders may be canceled if:

  • Approval takes longer than 7 days, and the price has increased by more than 10%
  • Multiple punchout sessions are used for the same order
  • Line items or quantities are changed after cart submission

5. Billing & Payment

How are Amazon purchases billed?

All Amazon Business orders are paid via cXML electronic invoicing through AggieBuy. This replaces pcard transactions and simplifies reconciliation.

What form of payment should I use for Amazon Business purchases?

The only accepted method is Pay-By-Invoice through AggieBuy. Once you click "Submit Your Order for Approval" in Amazon, you'll be returned to AggieBuy to either complete a requisition or assign it to a designated fiscal staff member. Invoices are received and matched automatically—no manual action is required.

How do I access my invoice?

  • For individual orders: Log into the Amazon punchout, go to Your Orders, and select Print Packing Slip (note: this serves as the invoice).
  • For multiple orders: Use the Business Analytics tool within Amazon Business to download invoices in bulk.

I was charged sales tax—how do I get a refund?

Although Texas A&M is tax-exempt, some sellers may charge tax. To request a refund:

  1. Go to Your Orders
  2. Locate the taxed item
  3. Click Contact the Seller
  4. Use the subject “Tax Exemption Refund Request” and include your order number and the tax amount charged.

How will this change affect departmental budgeting and reporting?

All Amazon purchases will now flow through AggieBuy, offering improved tracking and reporting. This centralized process also eliminates pcard reconciliation and provides clearer insight into departmental spending patterns.

How does Amazon integrate with our financial systems?

The Amazon Punchout integrates with AggieBuy, which feeds into FAMIS. Purchase orders, invoices, and payments are automatically processed— reducing manual entry.

6. Scenarios Based on Current Amazon Access

Scenario 1: You're already in the Central Amazon Business account.

What do I need to do?

Nothing—no further action is required.

How can I confirm I'm in the Central account?

On the Amazon Business landing page, you'll see “Texas A&M University” listed under your name. You will also see the Amazon “Business Prime” logo in the top left corner of the screen.

Scenario 2: You use a personal Amazon.com account with your Texas A&M email.

What should I do?

Follow the instructions in the email you received. You can either:

  • Update your account to use a personal email, or
  • Convert your account and order history into the Central Amazon Business account.

Do I have to change my email if I don't plan to use Amazon Business?

Yes. It is best practice to avoid using institutional email for personal accounts.

Scenario 3: You have a separate Amazon Business account (single user Admin, not in the Central account).

What should I do?

Follow the migration steps from the email sent by business@amazon.com (this is not spam) to transfer your account and history to the Central Amazon Business account.

What happens to my order history?

Your history will be preserved, but detailed order summaries (confirmation pages) will no longer be accessible. It's best to download or print any summaries you need before migrating.

Scenario 4: You manage a multi-user Amazon Business account with multiple users not tied to the Central account.

As the account administrator:

Follow the migration instructions sent by email.

As a user in that account:

No action is required; your administrator will handle the migration.

What happens to our order history?

Order histories will be preserved, but you should download any detailed summaries you may need before migration.

I'm being asked for a password and don't know it.

Use the “Forgot Password” link. If you can't reset it, contact Amazon Business Customer Service.

I tried to deregister but got a permissions error.

Only the administrator can close the account. Ask them to remove you.

7. Business Prime Benefits

What items qualify for Business Prime Shipping?

Millions of items, marked with the Prime logo, are eligible. Items not eligible may incur shipping fees.

What benefits are included with Business Prime?

  • Free Two-Day Shipping on eligible items
  • Access to Prime Day deals and early access offers

Note: Consumer programs like Prime Pantry, Music, or Video are not included.

Can I use Business Prime on my personal Amazon account?

No. Business Prime benefits are limited to your business account. If desired, you may purchase a separate personal Prime membership.

I have a personal Prime membership—can I share it with the Amazon Business account?

No. The central account already includes free Two-Day Shipping. If you have a personal Prime membership, you can request a pro-rated refund to the original payment method on the account. To cancel: Go to Accounts & Lists → Manage Prime Membership → End Membership.

8. HUB Considerations

Why do I have to order from a HUB vendor when Amazon is easier or cheaper?

Texas A&M's HUB punchout suppliers play a critical role in helping the university meet its annual HUB spending goals, which are monitored and reported to the State of Texas. Failing to meet these goals can result in negative consequences for the university.

While Amazon may sometimes appear more convenient or cost-effective, it's essential to prioritize HUB vendors when possible. Supporting HUB suppliers strengthens our local business community and helps ensure university compliance with state procurement requirements.

Your participation in this collective effort makes a difference—please check HUB vendors first before turning to Amazon.

When should I use Amazon Business instead of a HUB vendor?

Only use Amazon Business when:

  • The item is unavailable through a HUB vendor
  • There is a significant price difference
  • There is an urgent need that HUB vendors can't fulfill in time

Do Amazon purchases count toward HUB spending goals?

Generally no, unless the specific Amazon seller is a certified HUB vendor.

Are any HUB vendors available through Amazon Business?

Yes, but purchases may not automatically count toward HUB metrics. Contact Procurement Services for guidance.

How do I identify diverse suppliers on Amazon Business?

Use the Business Diversity filter when searching to find vendors with certifications such as woman-owned, minority-owned, or veteran-owned.

How does this system support policy compliance?

The punchout helps with:

  • Automatic tax exemption

10. Questions Received via Microsoft Forms

Can purchases ever be made outside the punchout?

No. All university-related purchases must go through the AggieBuy punchout.

Will Amazon appear as a tab or in the Vendor/Supplier Hub?

There will be an Amazon tile on the AggieBuy homepage, marked with the Amazon logo.

Will I see only Prime products or all marketplace items?

You'll see all marketplace items unless they're blocked for legal or safety reasons. Products may come from third-party sellers.

Can we modify our shipping address in AggieBuy?

Yes, but you must contact the AggieBuy team. You can't change the address at checkout. Use an address with a mail stop to avoid delivery issues.
